CS - Collaborative Stage > Coding Instructions

Version 02.04

 Coding Instructions

CSv02.04 is effective for all reportable cases diagnosed 1/1/2012 and forward.  Therefore, CSv02.04 will have to be implemented before the processing of any 2012+ cases. After CSv02.04 has been implemented, all cases need to be processed under CSv02.04 regardless of diagnosis year. Please see the individual standard-setter requirements for more specific information.
  1. Review the changes listed in the Release Notes in the support documents tab.

  2. Review section 3.3 of the Implementation Guide for the conversions and specific cases requiring manual review by the registrar.

  3. Download the CS Coding Instructions found in the hyperlinked coding instructions tab.  Three formats are available:

    • Hyperlinked PDF – Part II (schemas) contains hyperlinks that take you to the corresponding rules in Part I Section 1 or SSF explanations in Part I Section 2, enabled for highlighting and sticky notes

    • Non-hyperlinked PDF – files containing Part I Section 1, Part I Section 2, and Part II, enabled for highlighting and sticky notes

    • HTML online – available to view through a web browser and contains extra tables not used for coding but which may be helpful for data analysis

  4. Install the software according to the vendor’s guidelines

A Note for Mac Users
Recommendation is to suggest that the user download an app for their Mac that can read chm files.

A Few Suggested Apps

At least some of these are free. That would be the simplest and most economical solution for these low-volume non-Windows users.
Two other suggestions:  make sure user knows that they can access the HTML versions of the schemas from the CS website and suggest that user talk to the tech support for their abstracting device about options for installing the manual.  The compiled help does need to be installed on the local machine and not a network drive but this depends on the kind of device they are working on and whether they could use the manual from the cloud.

 Support Documents

CS v02.04 Release Notes:

Release Notes detail the changes to Part I and Part II of the CS Coding Instructions.

CS v02.04 Implementation Guide:

The Implementation Guide is a document that provides information to Vendors on how to integrate or merge data into a specific platform or interface.  For Registrars, Section 3.3, as noted above, contains conversion information and should be reviewed.   Section 6 also contains important information for Registrars when directly coding Summary Stage 2000.

 Standard Setters Requirements Database

Each standard-setting group has specific requirements and recommendations for implementation of CS Version 02.04. Click on the links below to download the individual requirements. Where necessary, refer to individual program or central cancer registry requirements for additional information.

CoC/SEER Combined Requirements for Site-specific Factors
(Please Note: The required CS Site Specific Factors for CoC and SEER are identical).
This valuable working tool is color coded to highlight the site-specific factors (SSF) required for staging, obsolete SSFs, clinically significant SSFs, as well as those not required. This file was updated on 08/24/2012. Please disregard previous versions.

 Hyperlinked Coding Instructions

The Collaborative Stage (CS) Team has created Hyperlinked Coding Instructions to make coding CS easier and quicker for the cancer registrars.  We have created a base installation program to hyperlink version 02.04 of the CS Coding Instructions and Schemas to make navigation through the Coding Instructions and voluminous schema tables much quicker and easier.

The ability to add highlights and sticky notes has been enabled to all parts of the Coding Instructions. Please download here and be sure to read the Download Instructions for Hyperlinked Coding Instructions below for further details.

Users should refer to these instructions, which are also included in the download, for detailed instructions of how to use the Hyperlinked Coding Instruction.

 Downloadable Instructions

The CS v02.04 coding instructions are available in an alternate format, HTML online help.  The content of Part I is identical to the content of the PDF version.  The content of Part II (the schemas) is expanded to include additional extra tables not included in the PDF format, especially useful for those who do CS training or perform quality control of CS data.  The HTML online help system combines an index for Parts I and II, includes full text searching capability, and has multiple navigation methods.  HTML online help systems are familiar to most users.  Online help appears in a browser window using the standard Microsoft HTML Help interface, with selected features enabled by third-party tools.

 SEER Abstract Generator

SEER Abstract Addendum Generator for 2012+ Cases Abstracted under Collaborative Stage version 02.04 (CS v02.04)

Although it would be ideal for all 2012+ cases to be abstracted into Collaborative Staging version 02.04 software, some facilities/registries may need to abstract 2012+ cases before their abstracting software can be updated to CS v02.04. This tool lists the Collaborative Staging (CS) fields and space to abstract the information needed for CS v02.04. You must have Word 2003 or later on your computer to run this tool. See http://www.seer.cancer.gov/tools/absgenerator/ for more information.
